INTRODUCTION
An elective allows the LMS Administrator to make Activities and Qualifications/Training Programs available to users or units within your organization and groups, allowing them to enroll in the activities they choose.
OFFER AN ELECTIVE
Follow these steps to offer electives to a user, organization unit, or group:
- Click the Administration tab at the top of the screen
- Click Electives, then Offer Electives on the left menu bar
Step 1: Choose the Training to Offer an Elective for:
- Training to Offer as an Elective: Click the Select button to the right of the field.
- Look For: Choose Activity or Qualification/Training Program from the drop down list.
- Available Records Table: Select one or more activities OR one or more Qualifications/Training Programs (or a combination of both).
- Click the right arrow to move the selections from the Available Records table to the Selected Records table.
- Click the Select button.
Step 2: Choose Who Can Enroll in the Training
- Look for Drop Down: Make one of these selections:
Users: allows you to select one or more users
Users I have Permissions For: allows you to select one or more users you have permissions for
Note: If you have a security role target that includes multiple organization units, this will present a list of ALL users that you have permission to access.
Organization Unit: allows you to select one or more organization unit.
Group: allows you to select one or more groups. - Available Records Table: Select one or more users, organization units or groups
- Click the right arrow to move the selections from the Available Records table to the Selected Records table.
- Click the Select button.
- You will be returned to the Offer Electives screen
Step 3: Setup Start and End Dates
Start Date: When does this training first appear on the Catalog screen?
Now: Select if you want the elective to be immediately available for the user to enroll in.
On a specified date: Choose the date you want the elective to be available for the user to enroll in.
End Date:When does this training no longer appear on the Catalog screen?
End Date: Enter the date when the activity will no longer be available as an elective.
Note: The elective will disappear on that date regardless of the learner’s completion status. For example, if the completion status is in progress, incomplete, or overdue, the assignment will still disappear from the learner’s training tab.
Previous Completions:
Default: Select the default when you do not want to require the user to recomplete the activity.
Only completion records after MM/DD/YYYY: Select when you want to force the user’s completion status back to incomplete and require them to complete the training again if they completed the training on or before the date specified. The date defaults to the current date but you can enter a date of your choice.
Step 4: Optional Settings
Elective Notes: Optional field. Enter any notes that you want the learner to know about this elective. For example, Optional Training
Categories: Categories allow you to organize activities and qualifications by category. Refer to the Electives: Elective Categories article to learn how to create and manage elective categories.
Once created, follow these steps to select an applicable category for this elective.
- Click the Select button to the right of the Categories field
- Select one or more categories from the Available Records table
- Click the right arrow to move the selected records from the Available Records table to the Selected Records table
- Click the Select button
Approval Required: Verify this checkbox is checked if your organization requires supervisor approval for users to take electives.
Note: Refer to the Electives: Activate Supervisor Approval article if you would like to require supervisor approval for users to take electives.
Step 5: Save
- Click the Save button.
Step 6: Close
- Click the Close button after the Electives Created confirmation appears.
Step 7: Confirmation Options
- Manage Electives: Click this link to view the Manage Electives screen
- Create More Electives: Click this button to create more electives
- Close: Click this button to close the Electives Saved confirmation and return to Offer Electives
The elective will appear on the Catalog tab for any user that was included in the elective offering. Refer to the Electives: Enroll, Request, and Withdraw article to view the steps the learner takes to enroll in an elective.
