INTRODUCTION
The Rate Data feature allows IMS administrators to create current year reporting by month so that you can compare the actual number of reported incidents to your established target.
This article describes how to add, edit and delete current year data by month, one entry at a time.
Refer to the Rate Data: Overview article to learn more about the rate data feature and how the IMS calculates the data provided on the Incidence Rates Report.
Refer to the Rate Data:Import and Export article when you would like to add historical data by establishment for one or more years.
Refer to the Incidence Rate Report article for an overview and instructions to run the report.
CREATE A RATE DATA RECORD
Follow these steps to create a new rate data record:
- Click the Administration tab at the top of the screen.
- Click Incident Management, then Rate Data on the left menu bar.
- Click the New button.

Complete the following fields. Red denotes required entry, Black denotes optional:
Incident Rate Data Section
- Establishment: Select the establishment for this entry.
- Click the Select button to the left of the establishment field.
- Click the checkbox to the left of the desired establishment.
- Click the Select button at the top of the screen.
- You will be returned to the Create Rate Data screen and the selected establishment will appear in the Establishment field.
- Year: Select the year this entry will be applied.
- Month: Select the month this entry will be applied.
- Hours Worked Est: Type the estimated number of hours worked for this establishment. Add an estimate when you don't know the actual hours worked.
- Hours Worked Actual: Type the actual hours worked for this establishment.
Note: If both Hours Worked Est. AND Hours Worked Actual are entered; the system will run the formula on the entry made in the Hours Worked Actual field. - # Employees: Type the number of employees that worked in your company for this month and year.
Note: A benefit of adding Hours Worked Actual and # of Employees for each month:
- The system will automatically determine the average hours worked and number of employees for the entire year.
- It will populate the Avg Employees and Total Hours Worked fields in the Incident Filing Wizard when filing the OSHA 300A using the IMS. Please refer to the OSHA Form 300A: Summary of Work Related Injuries article to learn more.
Incident Rate Targets Section
Note: These entries are optional. Entering data in these fields will add a pink line on the Incidence Rate Report to indicate your target.
- Recordable Rate: Enter the recordable rate target.
- Days Away Target: Enter the days away target.
- Transferred/Restricted Rate: Enter the Transferred/Restricted Rate target.
- Dart Rate: Enter the DART rate target.
Historical Tab
Please refer to the Rate Data: Overview article to learn how rate data is calculated in the IMS.
Only complete the historical data section when you want the IMS to calculate the Recordable Rate, Days Away Rate, Transferred/Restricted Rate and the DART Rate for any month PRIOR to when you started using the IMS. This section is not required on any months after you started using the IMS as those counts are automatically aggregated based on the incidents entered in the IMS.
Historical Data Section
- Recordable Count: Enter the ACTUAL count for the month you are entering historical data for.
- Days Away Count: Enter the ACTUAL days away count for the month you are entering the historical data for.
- Transfer/Restriction Count:Enter the ACTUAL transfer/restriction count for the month you are entering the historical data for.
- Hours Worked Actual: Enter the hours worked ACTUAL for the month you are entering the historical data for.
- Click the Save button.
- Click the Close button after the Changes Saved confirmation appears.
EDIT A RATE DATA RECORD
Follow these steps to edit a rate data record:
- Click the Administration tab at the top of the screen.
- Click Incident Management, then Rate Data on the left menu bar.
- Search and locate the rate data entry to be changed.
- Click the Edit button to the left of the desired record.
- Make any desired changes.
- Click the Save button.
- Click the Close button after the Changes Saved confirmation appears.
- Repeat these steps until all the desired rate data records have been edited.
DELETE A RATE DATA RECORD
Use caution when deleting rate data records as it permanently deletes the record.
Follow these steps to delete a rate data record:
- Click the Administration tab at the top of the screen.
- Click Incident Management, then Rate Data on the left menu bar.
- Search and locate the rate data entry to be deleted.
- Click the Delete button to the left of the desired record.
Note: If the Delete button is inactive, you have not been assigned the Master administration role and will be unable to delete users. - Click the YES button on the Confirmation screen.
- The record will be deleted from the list.
- Repeat these steps until all the desired records have been deleted.
