INTRODUCTION
When a user completes training OR an LMS Administrator credits training, the LMS creates a completion record. This article will explain how to edit and delete completion records.
You may want to edit a completion record to change the date or add a score. You may want to delete a completion record if you discover that the user completed the activity with a duration that is shorter or longer than the estimated duration.
Before you edit or delete a completion record, be sure to read the bulk and non-bulk mode section.
BULK AND NON-BULK MODE
When a completion record is created, the LMS organizes completion records as follows:

This means, if you edit or delete a completion record with None flagged in the Bulk column, you are only editing or deleting the completion record for that user. |
This means, if you edit or delete a completion record with a Unique Number you must toggle the Bulk Edit button located at the top of the menu bar as follows |
- Bulk Edit = ON: Edits or deletes the completion record for ALL users with that unique number.
- Bulk Edit = OFF: Edits or deletes the completion record for the SELECTED user within the bulk completion record.
Use caution when editing or deleting completion records with a unique number. If you only want to delete a completion record for ONE of the users in Bulk Mode, you must turn Bulk Edit off. Otherwise, your edit or deletion will apply to everyone with that unique number.

EDIT COMPLETION RECORD: NON-BULK MODE
Editing a completion record that is flagged NONE, will edit the record for ONE user.
Follow these steps to edit a non-bulk completion record:
- Click the Administration tab at the top of the screen
- Click Tracking and Completions, then Completion Records on the left menu bar
- Click the Hide Completions Before drop-down located on the button bar and select from one of the following:
- Today
- 1 Month Ago
- 6 Months Ago
- 1 Year Ago
- 2 Years Ago
- 3 Years Ago
- Show All
- Search and locate the desired completion record following the directions provided in the Using Search article.
- Click the Edit icon to the left of the desired completion record with the word NONE in the bulk column.
- Make any of the following changes: Activity Type, Duration, Description, Score, Place, Presenter, or Competent Persons. You can also add an attachment; for example, a sign-in sheet, or print a completion certificate.
- Click the Save button.
- Click the Close button after the Changes Saved confirmation appears.
EDIT COMPLETION RECORD: BULK MODE
You would edit a completion record with:
- Bulk Edit ON when you want any changes made to apply to all completion records:
- Bulk Edit OFF when you want any changes made to apply to only one user within the set of unique numbers.
Follow these steps to edit a completion record:
- Click the Administration tab at the top of the screen.
- Click Tracking and Completions, then Completion Records on the left menu bar
- Click the Hide Completions Before drop-down located on the button bar and select from one of the following:
- Today
- 1 Month Ago
- 6 Months Ago
- 1 Year Ago
- 2 Years Ago
- 3 Years Ago
- Show All
- Search and locate the desired completion record following the directions provided in the Using Search article
- Bulk Edit button:
- Toggle ON to edit the completion records for all users
- Toggle OFF to edit a completion record for a selected user.
- Click the Edit icon to the left of the desired completion record to be edited.
Note: If bulk edit is on, it doesn't matter which edit button you select. - Make any of the following changes: Activity Type, Duration, Description, Score, Place, Presenter, Competent Persons. You can also add an attachment; for example, a sign-in sheet, or print a completion certificate.
- Click the Save button.
- Click the Close button after the Changes Saved confirmation appears.
DELETE A COMPLETION RECORD: NON-BULK MODE
Deleting a completion record that is flagged NONE, will edit the record for ONE user.
Note: Use caution! When you delete a completion record, the LMS permanently deletes the record. If you delete completion records in error, please contact our support team. They may be able to restore the deleted records.
Follow these steps to delete a non-bulk completion record:
- Click the Administration tab at the top of the screen
- Click Tracking and Completions, then Completion Records on the left menu bar
- Click the Hide Completions Before drop-down located on the button bar and select from one of the following:
- Today
- 1 Month Ago
- 6 Months Ago
- 1 Year Ago
- 2 Years Ago
- 3 Years Ago
- Show All
- Search and locate the desired completion record following the directions provided in the Using Search article.
- Click the Delete icon to the left of the desired completion record with the word NONE in the bulk column.
- Click the Yes button on the Confirmation screen.
- Click the OK button on the Delete screen.
- Click the Save button.
- The record will be removed from the Manage Completion Records screen.
DELETE COMPLETION RECORD: BULK MODE
Deleting completion records that are flagged with a UNIQUE NUMBER and
- Bulk Edit = ON will delete the records for ALL users with the unique number.
- Bulk Edit = OFF will delete the records for the Selected User with the unique number.
Note: Use caution! When you delete completion records, the LMS permanently deletes the records. If you delete completion records in error, please contact our support team. They may be able to restore the deleted records.
Follow these steps to delete completion records with a unique number:
- Click the Administration tab at the top of the screen.
- Click Tracking and Completions, then Completion Records on the left menu bar.
- Click the Hide Completions Before drop-down located on the button bar and select from one of the following:
- Today
- 1 Month Ago
- 6 Months Ago
- 1 Year Ago
- 2 Years Ago
- 3 Years Ago
- Show All
- Search and locate the desired completion record following the directions provided in the Using Search article
- Bulk Edit button:
- Toggle ON to delete completion records for all users
- Toggle OFF to delete a completion record for a selected user.
- Click the Delete icon to the left of the desired completion record(s) to be deleted.
Note: If bulk edit is ON, it doesn't matter which delete button you select. - Click the Yes button on the Confirmation screen.
- Click the OK button on the Delete screen.
- The records will disappear from the Manage Completion Records screen.
