INTRODUCTION
A “job” is created when you schedule a report to be emailed on a recurring basis.
If you scheduled a report to email on a recurring basis, you may need to modify the "job" when you want to:
- Change the report parameters, recipients, and delivery schedule.
- Pause and resume a report job for a period of time rather than deleting a job
- Permanently delete a report job. Only Master Administrators can delete a job.
MODIFY RECURRENT REPORT JOB
Follow these steps to modify the recurring report job by modifying the report parameters, recipients, and delivery schedule for ALL administrators including you:
- Click the Administration tab at the top of the screen.
- Click the Reports link, then click Scheduled Reports.
- Search and locate the job to be modified.
- Click the Edit button to the left of the desired job. The Schedule Report Job Details screen appears.
- Complete the following steps:
- Step 1: Adjust the report parameters.
- Step 2: Click the View Report button to verify the report displays the desired data.
- Step 3: Select one or more users, teams, or groups if you need to change the recipient of the report.
- Step 4: Choose one or more of the desired file formats: PDF, Excel, or Comma Separated Values to change the file format type.
- Step 5: Change the email subject line, if desired.
- Step 6: Click the Setup Schedule button and follow these steps if desired:
- Recurrence Pattern. Select from daily, weekly or monthly and set the desired time the report will be emailed.
- Report’s Date Parameters. This selection will only appear on reports that include a Start Date and End Date Range. You will have two options:
- Relative Time Span: This allows you to specify the time frame for data that this report will include each time the report is run. Choose from the:
Previous Week, Month, or Year OR
Current Week, Month, or Year - Advanced Time Span: This allows you to specify the exact time frame this report will include each time the report is run. Choose from:
From Parameter: Before or After ## Days or Months
To Parameter: Before or After ## Days or Months
Note: For example, you want the report to be run each Thursday. Setting these parameters means that when the recurring report is run each Thursday, it will include data 30 days before the Thursday and 90 days after. This way, your report data will run based on the date you are running the report and always move forward each Thursday.
- Click the Save button. You will be returned to the Scheduled Report Job Details screen.
- Verify the Use Schedule checkbox is checked.
- Step 7: Click the Save button.
- Click the Close button in the upper right corner of the screen.
- You will be returned to the Scheduled Report Jobs screen.
PAUSE, RESUME AND RUN A REPORT JOB
Follow these steps to pause, resume and run jobs created by ALL administrators including you:
- Click the Administration tab at the top of the screen.
- Click System and then Jobs on the left menu.
- Search and locate the desired report job to be paused, resumed, or run.
Note: Report Job Names always begin with EmailReport. Search by email and all the report jobs will appear. - Click the View button to the left of the desired job.
- Click the Schedule Job button to change the scheduled recurrence date.
- Click the Pause Job button to pause the job temporarily.
- Click the Resume Job button to resume a paused job.
- Click the Run Job Now button to run the job now.
- Click the Save button to save the changes. The Success, Schedule Job Change confirmation will appear.
- Click the Close button
DELETE A REPORT JOB
Follow these steps to permanently delete a report job created by ALL administrators including you:
- Click the Administration tab at the top of the screen.
- Click Reports, then click Scheduled Reports on the left menu bar.
Delete One Job
- Search and locate the job to be deleted.
- Click the Delete button to the left of the desired job.
- Click the Yes button on the Confirm Delete screen.
- Click the OK button on the Delete screen.
- The job will be permanently deleted.
Delete Multiple Jobs
- Select multiple jobs by:
- Shift + Left Mouse button to select multiple sequential jobs
- Ctrl + Left Mouse button to select multiple non-sequential jobs
- Click the Delete button at the top left of the screen
- Click the Yes button on the Confirm Delete screen.
- Click the OK button on the Delete screen.
- The jobs will be permanently deleted.
