INTRODUCTION
When activities and qualifications are assigned to users or organization units or groups they will
- Appear on the Training tab AND
- REQUIRE completion by the learner.
Assignments can be modified at any time. This article explains how to edit an assignment. Be sure to read the Bulk and Non-Bulk Mode section. It is important to understand the difference so you can know what you can edit or change in an assignment that has been flagged as Bulk or Non-bulk.
BULK AND NON-BULK MODE
When an assignment created, the LMS organizes the assignments as follows:

Assignments that are non-bulk are denoted by the word NONE in the Bulk Column. An assignment is denoted as Non-Bulk when it includes:
This means if you edit or delete an assignment with None denoted in the Bulk column, you are editing for everyone included in the assignment. |
Assignments that are non-bulk are denoted by a UNIQUE NUMBER in the Bulk Column. An assignment is denoted as Bulk when it includes any one of the following:
This means, if you edit or delete an assignment with a Unique Number, you must toggle the Bulk Edit button located at the top of the menu bar. See the explanation below. |
Bulk Edit Button
The bulk edit button is located at the top of the menu bar and can be used as follows:
Bulk Edit = ON -Edits or deletes the assignment for ALL users with that unique number.
Bulk Edit = OFF - Edits or deletes the assignment for the SELECTED user within the bulk completion record.
Please refer to the sections to edit an assignment under the following circumstances:
EDIT ASSIGNMENT: NON-BULK
You would edit a non-bulk assignment to:
- Change any of the activity scheduling dates for the assignment
- Change a Basic assignment to an Advanced assignment (make it a recurring assignment or set inherited assignment options)
- End an Assignment
- Ignore previous completion dates to force the user to retake the activity
Follow these steps to edit a non-bulk assignment:
- Click the Administration tab at the top of the screen.
- Click the Assignments link, then Assignments on the left menu bar.
- Search and locate the desired assignment following the directions provided in the Using Search article.
- Click the Edit button to the left of the desired assignment.
- Make any of the following changes: modify scheduling dates, change the assignment from basic to advanced or elect to ignore previous completions.
Note: You cannot change Step 1 (Activity or Qualification) or Step 2 (who was assigned the training). If either Step 1 or Step 2 is incorrect, you must unassign and reassign the training. (2) Refer to the Assignments: End and Unassign article for instructions to end or unassign an assignment. - Click the Save button.
- Click the Close button after the Changes Saved confirmation appears.
EDIT ASSIGNMENT: BULK EDIT ON
You would edit an assignment with Bulk Edit ON to edit an assignment and you want any changes listed below to apply to everyone within the assignment.
- Change who the assignment was made to
- Change any of the activity scheduling dates for the assignment
- Change an Advanced assignment to a Basic assignment (make it a recurring assignment or set inherited assignment options)
- End an assignment
- Ignore previous completion dates to force the user to retake the activity
Follow these steps to edit the assignment:
- Click the Administration tab at the top of the screen.
- Click the Assignments link, then Assignments on the left menu bar.
- Search and locate the desired item following the directions provided in the Using Search article.
- Verify the Bulk Mode button located on the button bar is set to ON.
- Click the Edit button to the left of the desired assignment.
- Make any of the following changes: add or remove the user(s), organization unit(s), or groups to or from the assignment, change any of the scheduling dates, and/or ignore previous completions.
Note: (1) Bulk Edit ON allows you to change Step 2 (who was assigned the training). If Step 1 is incorrect, you must unassign and reassign the training. (2) Refer to the Assignments: End and Unassign article for instructions to end or unassign an assignment. - Click the Save button.
- Click the Close button after the Changes Saved confirmation appears.
EDIT ASSIGNMENT: BULK EDIT OFF
You would edit an assignment with Bulk Edit OFF to edit an assignment and you want any changes listed below to apply to only one user, organization unit, or group within the assignment.
- Change any activity scheduling dates for one of the assignments include in the bulk assignment
- Change a Basic assignment to an Advanced assignment (make it a recurring assignment or set inherited assignment options)
- End an assignment
- Ignore previous completion dates to force the user to retake the activity
Follow these steps to edit the assignment:
- Click the Administration tab at the top of the screen.
- Click the Assignments link, then the Manage Assignments link on the left menu bar.
- Search and locate the desired item following the directions provided in the Using Search article.
- Click the Bulk Mode button located on the button bar so that it is set to OFF.
- Click the number in the Bulk column for the assignment to be edited.
- The Manage Assignments screen will display a filtered view of the selected bulk assignment.
- Click the Edit button to the left of the desired assignment to be edited. The changes you make will only affect one user, organization unit, or group.
- Make any of the following changes: change any of the scheduling dates, and/or ignore previous completions.
Note: (1) You cannot change Step 1 (Activity or Qualification) or Step 2 (who was assigned the training). If either Step 1 or Step 2 is incorrect, you must unassign and reassign the training. (2) Refer to the Assignments: End and Unassign for instructions to unassign an assignment. - Click the Save button.
- Click the Close button after the Changes Saved confirmation appears.
